Residence Hall Damage Charges & Billing Information
The Office of Residence Life at Rhodes College is committed to maintaining safe, clean, and well-kept residential communities for all students. Students are financially responsible for damages, missing items, excessive cleaning, and policy-related charges that occur within their assigned space or residential community beyond normal wear and tear.
Damage Charge Estimates
The damage and fee estimates provided on this page are intended to serve as general guidelines for common residence hall damages and related charges. All listed amounts are estimates only and may change based on the actual cost of labor, materials, replacement, cleaning, repair, or vendor services.
Certain damages may be listed as “TBD” (To Be Determined). Charges identified as TBD will be determined following an assessment conducted by the Office of Physical Plant team. Final charges may vary depending on the scope of damage, required repairs, replacement costs, and associated labor.
Individual & Shared Responsibility
Whenever possible, damage charges will be assigned to the individual(s) responsible for the damage. However, residents may be held jointly responsible for damages occurring within shared spaces, including but not limited to:
- Bedrooms
- Suites
- Apartment common areas
- Bathrooms
- Lounges
- Shared furniture or fixtures
The Office of Residence Life reserves the right, at its discretion, to determine whether charges are assigned to an individual student or split among residents assigned to a shared space, suite, apartment, floor, or community area when responsibility cannot be clearly determined.
Common Area & Community Damages
Damages occurring in hallways, lounges, kitchens, bathrooms, stairwells, elevators, or other community spaces may be billed collectively to residents of the applicable community when responsible parties are not identified.
Assessments & Billing
Damage assessments are conducted by Residence Life staff in partnership with the Office of Physical Plant. Students may be billed for:
- Repair costs
- Replacement costs
- Labor charges
- Cleaning fees
- Administrative costs associated with restoration or replacement
Charges will be applied to the student account following assessment and processing.
Damage Charge Inquiries
Students will be notified through their Rhodes student email account regarding the nature of the damage charge and associated billing information. Students who have questions or concerns regarding a charge may contact the Office of Residence Life at reslifestaff@rhodes.edu.
Damage Charge Disputes
Students wishing to formally dispute a charge must submit a dispute within three (3) business days of the date the notification email is sent. Charges not disputed within three (3) business days will forfeit the opportunity to dispute the charge, and the fee will be added to the student account.
All disputes must be submitted through the appropriate form available in the eRezLife system. Disputes submitted via email to reslifestaff@rhodes.edu or sent directly to individual Residence Life staff members will not be considered.
- Spring 2026 closing disputes must be submitted via the Spring Closing Charge Dispute form.
The Office of Residence Life will review submitted disputes in consultation with relevant campus partners, including the Office of Physical Plant when appropriate. Submission of a dispute does not guarantee that a charge will be reduced, removed, or adjusted. Decisions made following the review process will be communicated to the student through their Rhodes student email account. The decision of the Office of Residence Life is final.
