Official Constitution of the Rhodes SPS Chapter

ARTICLE I - Name, Purpose, and General Statements

Section 1    The exact title of this organization shall be the Society of Physics Students

Section 2    This organization shall exist for the following purposes:

a.    To provide a forum for speakers to make presentations of timely interests to members on contemporary aspects of physics and related fields.
b.    To provide a support group for students majoring in or partaking in physics at any level
c.    To schedule visits to companies in the physics industry or a related industry and academia
d.    To provide social activities and events for the membership
e.    To provide physics related outreach activities for the community

Section 3    The club shall operate as a non-profit organization.

Section 4    This club shall abide by the applicable rules and policies of Rhodes College to student organizations


ARTICLE II – Membership

Section 1    Voting membership is open to all students, faculty, and staff at Rhodes College.

Section 2    To become a member, one must attend at least two meetings per academic year. One need not be a member of the national Society of Physics Students.

Section 3    Attendance at two or more meetings per academic year or membership in the national Society of Physics Students constitutes active membership. Failure to maintain active membership automatically constitutes removal from the organization’s roster.


ARTICLE III – Officers

Section 1    The officers of this organization shall consist of President, Vice President, Secretary, and Treasurer. All officers must currently be enrolled students at Rhodes College.

Section 2    The duties of the officers are as follows:

a.    President – Preside over all meetings of this organization and act as official representative of the organization at other meetings and events.
b.    Vice President –

1.    Preside over all meetings of this organization and act as official representative of the organization at other meetings and events in absence of the President.
2.    Succeed the president if the president is unable to complete his/her term of office.
3.    Coordinate all committees

c.    Secretary –

1.    Handle the organization’s correspondence.
2.    Produce thorough and accurate reports as required by the organization.

            d.    Treasurer –

1.    Handle all financial transactions of the organization.

2.    Produce thorough and accurate financial reports as required by the organization.

 

ARTICLE IV – Committees

Section 1    The standing committee of the club shall be the Executive Committee.
It shall consist of the elected officers and chairpersons of all committees.
They shall be responsible for setting meeting dates for the club. They shall also act on behalf of the club during the summer months.


ARTICLE V - Meetings

Section 1    A regular meeting shall be held at least twice each semester. A special meeting may be called by the Executive Committee or by petition of ten percent of the active membership.

Section 2    Two elected officers shall be present at meetings to conduct official business of the organization.

Section 3    Decisions of the organization shall be enacted by a majority vote of the active members present.

Section 4    Members shall be notified a week in advance of all meetings.


ARTICLE VI – Financial Matters

Section 1    The club shall not provide monetary gain, incidentally or otherwise to its directors or membership.


ARTICLE VII – By-laws

Section 1    By-laws may be presented by the membership and may be adopted by a majority vote of those present at the meeting when two elected officers are present.


ARTICLE VIII – Amendments

Section 1    Amendments to the constitution may be proposed by a member of the organization. Such proposals shall be submitted in writing to the Executive Committee for a first reading to the membership at the regular meeting prior to the meeting at which the proposed amendment is to be voted on.

Section 2    Duly proposed amendments shall be submitted to a vote of the voting members provided two elected officers are present. A two-thirds majority vote in favor shall be required for adoption of such amendments.

Section 3    An amendment to this constitution shall be adopted only after the approval of the President of the College, in compliance with the by-law
