Clearance Checklist

Academic Clearance

The Registrar′s Office carefully reviews each degree candidate′s academic record and certifies to the faculty that the candidate has completed requirements for the degree.

Degree Requirements Completed

Candidates for graduation on Saturday, May 10, 2008, must formally complete all academic and degree requirements either by Friday, December 14, 2007, or by Monday, May 5, 2008, in order to be eligible to participate in the ceremony and receive their diploma. Although diplomas for December graduates will be awarded in May, they will be dated December 20, 2007. If members of the Class of 2008 have any questions about their records, they should check with the Registrar′s Office as soon as possible.

Re-Examinations Scheduled if Necessary

A senior who is passing a course prior to the final examination and who fails the final exam, thus failing the course, may be eligible for a re-examination at the discretion of the instructor of the course. If a re-exam is to be permitted, the senior will be notified by the instructor following the initial examination. The re-examination will be administered at the earliest mutually convenient time prior to the submission of final grades to the Registrar. Seniors in this situation should consult the policy on "Conditional Grades" in the Rhodes catalogue.

Graduating In Absentia

Students who are eligible to participate in the May 10 ceremony but who for whatever reason do not plan to participate, should request to graduate in absentia by writing Dr. Charlotte Borst, Provost, no later than May 7, 2008. Those who graduate in absentia and would like to have their diplomas mailed to them after May 10 should provide a mailing address to Claire Coleman in the Registrar’s Office.

Financial Debts and Other Obligations Cleared

All bills payable to the Bursar′s Office and all other departments on campus should be paid in full as soon as possible, if a student is to participate in graduation ceremonies. You will not be permitted to pick up your cap and gown until officially cleared by the Bursar. College regulations prevent any exception to the rule. A list of those with outstanding debts or obligations to one or more departments will be posted outside the Bursar′s Office during the first week of May. To avoid appearing on this list, please settle all accounts as soon as possible. Please note that loan or scholarship checks must be received by Rhodes before graduation if the student is to participate as a May graduate.

Obligations which must be cleared include such items as:

  • Library fines and overdue or lost library materials from both Rhodes and University of Memphis
  • Parking tickets
  • Infirmary and bookstore charges
  • Residence hall damage charges
  • Return of athletic equipment
  • All other obligations

Some obligations such as final long distance telephone calls, dorm damages and non-returned key charges will not be available until after commencement and will be billed to the appropriate students in June.

Checked Out of Residence Hall (after Commencement)

Graduates must be completely moved out of the residence halls by noon, Sunday, May 11. Graduates may either schedule a time to meet with their R.A. for a room checkout and to return both room key and key fob, or they may pick up an "express check-out" envelope from their R. A.′s door. Mailbox keys are to be returned to the Mail Room.
