Academic Clearance

The Registrar′s Office carefully reviews each degree candidate′s academic record and certifies to the faculty that the candidate has completed requirements for the degree.

Completing Degree Requirements

Candidates for graduation on Saturday, May 10, 2014, must formally complete all academic and degree requirements either by Friday, December 13, 2013, or by Monday, May 5, 2014, in order to be eligible to participate in the ceremony and receive their diploma. Although diplomas for December graduates will be awarded in May, they will be dated December 20, 2013. If members of the Class of 2014 have any questions about their records, they should check with the Registrar′s Office as soon as possible.

Graduating In Absentia

Students who are eligible to participate in the May 10 ceremony but who for whatever reason do not plan to participate, should request to graduate in absentia by writing Dr. Michael Drompp, Academic Dean, no later than May 7, 2014. Those who graduate in absentia and would like to have their diplomas mailed to them after May 10 should provide a mailing address to the Registrar.

Clearing Financial Debts and Other Obligations

Your student account balance should be paid in full as soon as possible, if you are to participate in graduation ceremonies. Items due to departments on campus, such as the library, should be returned as soon as possible. You will not be permitted to pick up your cap and gown until officially cleared by the Bursar. College regulations prevent any exception to the rule. Please note that loan or scholarship checks must be received by Rhodes before graduation if the student is to participate as a May graduate.

Obligations which must be cleared include such items as:

  • Tuition
  • Library fines and overdue or lost library materials from both Rhodes and University of Memphis
  • Parking tickets
  • Infirmary and bookstore charges
  • Residence hall damage charges
  • Return of athletic equipment
  • All other obligations

Some obligations such as dorm damages and non-returned key charges will not be available until after commencement and will be billed to the appropriate students in June.

If you have questions, contact Rhodes Express, 901-843-3278.

Checking Out of Residence Hall (after Commencement)

Graduates must be completely moved out of the residence halls by noon, Sunday, May 11. Graduates may either schedule a time to meet with their R.A. for a room checkout and to return both room key and key fob, or they may pick up an "express check-out" envelope from their R. A.′s door and return the key and fob to the "express check-out" box located near the mailroom. Mailbox keys are to be returned to the Mail Room.

Senior Exit Survey

The Senior Exit Survey will be made available to the Class of 2014 and must be completed in order to pick up caps and gowns. Once a user clicks the “Done” button on the survey, a printable ticket  with the senior’s name and ID number will be displayed for printing and a receipt will be emailed to the account submitted in the survey. The senior can print that ticket OR present the email receipt on a smart phone for regalia pickup. If the ticket doesn’t display, won’t print or is left behind, we’ll be able to confirm completion of the survey electronically. If a senior hasn’t completed the survey when he/she comes to pick up regalia, computers will be available for this purpose. The survey will likely take about 30 minutes to complete and includes a section designed by your academic department specifically assessing your major. This will be your primary opportunity to tell us about your future plans and to speak out about your complete Rhodes experience.
