URCAS 2009
The 2009 Undergraduate Research and Creative Activity Symposium, scheduled for May 1, 2009, promises to be an incredibly engaging event giving students the opportunity to share their work with the campus community. Information for Presenters
Oral presenters: Oral presentations are 15 minutes in length, and that includes audience questions. See the program above to find out when and where your presentation is scheduled. All presentation rooms are equipped with a computer and projector, so you can use powerpoint or other standard software for your presentation if you so desire.
READ THIS CAREFULLY! Any electronic file that you plan to use for your presentation will be placed into one folder on the student volume server, so that files can be pulled up quickly for each presentation. There is not time for students to login and logout of a computer between presentations in order to access their student folder.
- Name your file with your name in the file name, preferably as LastFirst. For example, VianoAnn.pptx for a powerpoint authored by Ann Viano. Place your file into the public folder within the URCAS folder in the Academic_Organizations folder on the Student_Community server at this address:
file://fileserver1/student_community/Academic_Organizations/URCAS/Public - You must place your file here by 10:30am on May 1 (URCAS day). DO NOT use a generic name like My_URCAS_presentation. There will be over 100 files in the URCAS folder and using your name ensures that you will be able to find it quickly. If your name is common then use a middle initial to further specify the author.
- If you have supplemental files with your presentation (audio or video) you should embed them first (as opposed to linking) so that you only have ONE file for your presentation. Or, you should place all of the necessary files in one folder and then put that folder into the public URCAS folder. You will have to relink to your audio/video files after this is done.
- Bring a backup copy of your presentation file to your oral session on a flashdrive or CD. You will not have time to login and get it from your email or student folder before your presentation.
Poster presenters: Posters will be presented in one of the two poster sessions on May 1. See the program above to find your poster number and time. Posterboards will be numbered and tacks for mounting to the boards will be provided. Posters in session I should be put up between 10 and 11am and taken down at 1:00pm. Posters in session II should be put up before 4:00pm and taken down immediately following the close of session II (6:00pm). Posters should be no larger than 4ft x 4ft.
Posters can be printed in the GIS lab in FJ132 (the northeast corner of the Frazier Jelke complex). The GIS lab will be staffed from 10-4 on Mondays and Wednesdays and 12-5 on Thursdays. Contact the GIS RSAP, Chris Culvern (culcn@rhodes.edu) for assistance. There is a charge of $2.00 per linear foot for all posters; you should know to what account to charge this before you go to print.
How to Print a Large Poster in the GIS lab from PowerPoint
- The poster printer is only available in the GIS lab. You cannot access it from computers elsewhere on campus. But you can prepare your file on another computer and then print it in the GIS lab.
- The printer can print 22 inch high strips in any length. To make a roughly 4ft x 4ft (actually 48 inch long x 44 inch high) poster you will need to print two 22inch high strips, each being 48 inches long.
- To prepare your poster: Format you PowerPoint slide(s) with the appropriate size: 34 inches in width (for example, but you can go up to 48 inches), 22 inches in height (this is the largest height available), and landscape orientated. To do this in PowerPoint find “Page Setup” and make the appropriate changes. If your poster is larger in width, take note in step 7 (22 is the largest height a single poster can be; if your poster is to be larger you will need to print two posters and display them on top of one another).
- To print your poster: Open your PowerPoint document and click “Print”.
- Change the printer to the “HP Designjet 800 24 by HP”
- Check the box “Scale to fit Paper”
- Click the “Properties” button and in the “Paper/Quality” tab change the paper size (under the “Paper Options” section) to “Oversized: ANSI D”. If your poster is not 34 x 22in. you will need to click custom and enter the dimensions of your poster. Finally, under the “Finishing” tab make sure “Landscape” is checked.
- Click OK only in the Properties Dialogue box; don′t click OK in the Print Dialogue. First click “Preview” and make sure your poster is displaying correct. It is important to know your poster will print exactly as it shows in the preview.
- If everything is in order click OK in the Print dialogue. Your poster will take about 5-10 minutes to print
- Finally, remember to fill out the Print Log Sheet so the appropriate fees can be administered.
